Entering A New Referral

 

*When you log in for the first time you will notice a few “Test” Referrals in your database (if there was no previous data transferred).  These “Test” Referrals MUST be left in place until you have entered THREE of your own referrals.  At that time you may delete the “Test” Referrals.

To Enter a New Referral:

  1. Click the Red 'ADD NEW' button

  2. Enter the fields as needed.  (Not every field needs to be filled-in in order to track your referral.)  NOTE:  Upon selecting the 'Referral Type', the Subtype field will be entered automatically.  This assumes you have completed the Subtypes for each Referral Type in the Referral Types table in 'Utility Settings'.  See the 'Getting Started' page for more information.    

  3. When completed, click the 'ADD NEW RECORD' button at the bottom of the page.  The record will then be saved and you will be returned to the database grid.   

 

If your Referral is not accepted then most likely you are entering something into a field which goes over the character limit, or is not intended for that field.

 

It’s a matter of identifying which field(s) is giving you the problem.  Here are the most common errors:

Text being added to DATE fields such as ‘Date Received’ or ‘Initiation Date’

Text being added to NUMBER fields such as ‘Referral Fee 1’, ‘PriceRange2’, or adding dollar signs ($) or percent signs (%)

Too much text being entered into a field.  For example the ‘Firm’ field will accept up 50 characters (including spaces).  Anything over that causes errors.

 

If you still can not determine the area causing the error, then simply enter the information section by section until it gives you the error again, thus identifying the problem area.

How Do I Update an Existing Referral?

To Update an existing referral:

  1. Select the referral.  (You may need to use the SEARCH button and enter the criteria to locate the record.)

  2. Click on the editing “Pencil” to the left of that referral.

  3. Make the necessary changes.

  4. Click the 'UPDATE CURRENT RECORD' button at the top or bottom of the page.

What is the time-out warning box?

Each database-related page viewed over the Internet has a certain amount of time assigned to it before it "times out".  In most cases, the time-out occurs at 15 minutes.  Currently the 'time-out' clock for the Referrals List page is approximately 1 hour.  The approximate amount of times left is displayed in the upper-right section of the Referrals List page.  Since we are using the Internet, it is important for the server to identify who is no longer using ReloSpec and drop their session to make room for other “active” users.  This helps keep response times to an acceptable level.

There are a couple things you can do to tell the server you are still there and want to stay logged in.  If you’re on a long phone call and you see that your session will time-out in less than 20 minutes, select a different record, or click UPDATE CURRENT RECORD or click the RELOAD button, or any other similar thing that “tells” the server you are still there.  Any of those actions will restart the clock for when your session times out.  Keep an eye on the ‘Page will time-out message in the upper-right of the Referrals List page.

What are the navigation buttons?

Navigation Buttons are the blue and red colored buttons at the top of the grid which is displayed when you first open the Referrals List page.  They control movement around the grid (using the Top, Bottom, Previous, Next, Row+, and Row- buttons.  Other buttons control SEARCHing, ADDing or UPDATEing records in the Referrals table.  There are other special navigation buttons which are explained below.

 

 

The DOWNLOAD button allows you to download and save the records displayed in the grid.  Though a limited number of fields are displayed in the grid, many more fields will be downloaded and will be identified by their field names and not the labels displayed with the fields in the grid or in the form (when editing).  The records will be downloaded in a .CSV (comma separated value) format.

 

 

The RELOAD button refreshes the records viewed in the grid.
