Reports

The Reports page displays a list of available reports that may be printed.  This page is accessed from the Main Menu where is it labeled 'Print Reports' or from the Referrals List page where is it labeled 'Reports'.  When the page is first opened it attempts to display only the "favorite reports" as selected from the link of the same name in the Utility Settings page.  If no favorites have been selected, all available reports will be displayed.

What are 'Favorite Reports' and how do I select them?

'Favorite Reports' are those reports selected from the link of the same name in the Utility Settings page.  When the page is first opened it attempts to display only the "favorite reports".  (If no "favorites" have been selected, then all available reports will be displayed.)  To select a new 'Favorite Report' do the following:

  1. From the Main Menu, click 'Utilty Settings'.

  2. Click the 'Favorite Reports' link.

  3. Click ADD NEW button

  4. Select the report you want to be included in the 'favorites' list and click the ADD NEW RECORD button.

Click the ‘Reports’ link and click on ‘Results’.  For the Incoming Referral list, enter the ‘Date Received Begin’ date and click APPLY FILTER.  By clicking the ‘Col-‘ button at the top you’ll get the list that will print on an 8.5x11” page, Portrait. 

 

For the Incoming Closed list, open the ‘Results’ page and enter the ‘Closing Date Begin’ and the ‘Closing Date End’ and click APPLY FILTER.  By clicking the ‘Col+’ button at the top you’ll get the list that will print on an 8.5x11” page, Landscape.  You will also get the additional numbers fields (Sale Price, Commission, etc.) displayed with column totals at the bottom.

 

 

 

Where are the reports I used to use?

In an effort to consolidate the total number of reports, and produce reports that could be printed on an 8.5x11" page (Portrait or Landscape) many redundant reports were replaced by the 'Results' report.  All reports that were produced before by multiple reports may now be produced using the 'Results' report.

What is the 'Results' report and how is it used?

The 'Results' report was created for two specific purposes; to replace multiple similar reports and to produce results that may be printed on an 8.5x11" page (either Portrait or Landscape).  This report allows the user to filter records in the Referrals table using a wide variety of criteria, then produces the results in a display with up to 9999 rows at a time.  

 

There are there are two "displays" of this report.  They are "Column Plus" ('Col+') and "Column Minus" (Col-).  The Column Minus display has the following fields in the grid: Date Received, Referral Type, Referral Status, File Number, ClientLName, AgtAssignedLastName and Firm.  This mode will print on an 8.5x11" page in the Portrait mode.  The Column Plus display will have all the fields of the Column Minus display plus the following fields: Sale Price, Transaction Commission, Referral Fee1, Pd To Agent, and Company Dollar.  This display also has columns totals at the bottom of the grid.

How can I have my Tickler open automatically upon logging in?

To have the Tickler (Reminders) page open automatically upon logging in to ReloSpec do the following:

  1. From the Main Menu, click Utility Settings, Usesrs.

  2. Select the name you want to update.

  3. In the last field on the page, set the [Reminder] field to TRUE.

  4. Logout and log back in.  You'll be taken to the Referrals List page and the Tickler page will open.

What records does the default Tickler page display?

Each time the Tickler page is opened all records in the ToDo table are displayed that meet the following criteria:

  1. Complete = FALSE (meaning they are not done yet)

  2. Who = [the user who logged in]  (meaning records where the 'Who' field = the name of the person logged in)

  3. Date is on or before the current date

Can I view Tickler records for ALL users?

Yes.  Once the page is open, click SEARCH and use the fields in the search page to filter the records as needed.  By not selecting a specific name in the 'Who' field you are filtering for all records and not a specific name.

How can I select the record in the Referrals table that matches my Tickler item?

Once the Tickler page is open do the following to select the specific record in the Referrals table that matches the Tickler item:

  1. Select the desired record by clicking the line number at the left side.  

  2. Leave the Tickler page open and switch to the Referrals List page.

  3. Click the TICKLER navigation button at the top of the Referrals List page.  This will instantly filter the records to select the matching record in the table.

Clicking the TICKLER CANCEL button will unfilter the Referrals List page.

How to run a Tickler report  (How do I run a list of my “To Do’s” for each day?)

In Relo Spec a “To Do List” is referred to as a “Tickler Report”.  It is recommended that each user should run a “Tickler Report” each morning.

To Run a “Tickler Report”:

  1. From the Referrals List page, click the “Tickler” link located on the left-hand side  You should now be viewing the “Filter Recordset” for the “Tickler” page.

  2. NOTE:  that you DO NOT need to fill in each of these fields, but rather there are two which need your attention.  You must enter a value for the 'Cut-Off Date' field.  To do so simply click the calendar and then click on the date you wish to select.  Notice the formatting used for the 'Date'.  (Instead of using the pop-up Calendar, you may enter the date manually by using the following format: "<='mm/dd/yyyy' ".)  This will usually be the date on which you are running the report.

  3. The second field which you need to consider is the “Who” field.  If you are the only user in your office then you can leave this blank.  Or, if there are several users and you wish to view the “To Do’s” for the whole company you may also leave this blank.  However, if you wish to only view your own “To Do” list then you must select your name in the “Who” field.

  4. Now you may click the 'APPLY FILTER' button at the bottom of the page.

  5. If no records appear than you have no “To Do” items scheduled for this day.  Otherwise you will now be looking at your complete “To Do List”.  You can now print your list by hitting “Ctrl P” or going to your menu bar and selecting the “Print” Option.

What is the 'Days Old' column and how is it used?

A column has been added to the ‘Tickler’ page that makes it much easier to know the number of days since the due date of a Response from the agent.  When the Tickler is opened, all ToDo records are displayed with the due date in descending order.  The ‘Days Old’ column is listed second in the grid and displays the total number of days since the due date.  The purpose is to make it easier to identify records are overdue for getting a response from the agent.  For example, if you see that the ‘Days Old’ amount is 7 or higher you may want to contact the agent to ask (again) for a response.

Are Responses in the Tickler removed automatically?

Yes.  When an agent responds to the update request using the online form the results of the form are inserted into the Responses table.  Once those Responses are processed, the corresponding record where the activity = "Response" is automatically removed from the Tickler.  See the 'Responses' page in the User Guide for more information about Responses.
